With many different training courses to manage and many different staff it can be a nightmare trying to send out the right information to the right people at the right time. Some administrators struggle with a mix of Microsoft Outlook calendars, spreadsheets and copying and pasting data into Microsoft Word or Microsoft Outlook. Others simply give up, or send out less information than they know they should.
Mail merging may help, but then there is the problem of creating the data files and ensuring that the right document is linked to the right data file before sending it out.
Sometimes it might also be desirable to include attachments with these documents and the user then needs to ensure that the right attachments are attached each time.
Things like late bookings just add to the burden and it is easy to miss people and dates.
It’s harder to maintain consistent quality standards across larger organisations as different administrators adopt different solutions depending upon their knowledge and preferences.
Training Manager Pro features a sophisticated, yet easy to use mailing engine. Microsoft Word is used to edit all documents, so the user interface is familiar. All correspondence can be sent as letters or as emails. Users can select who to send the emails to and whether to send the emails as body text, or attachments. It’s even possible to have a mix of both.
When sending emails as attachments you can link an unlimited number of additional attachments to each course and also link an attachment (such as a map) to a venue. The right map for the venue can thus be sent every single time.
The mailing features are very flexible. Ideally users will aim to create standard documents with merge fields that will allow them to work across many different courses, but if necessary, it is possible to create 10 different merge documents for every single course. And there is no need to worry about linking documents to the correct data file. The merge files are dynamically created and linked by Training Manager Pro. All users have to worry about is designing the documents themselves.
Letters can be scheduled on a course by course basis allowing the user to automate the sending of letters both before and after events. Any late bookings will automatically be picked up as the system simply looks at everything that has not yet been done.
Using the mailing features enables clients to maintain consistent standards across the team. It really is easier to send the letters through Training Manager Pro than to use any other alternatives.
